A useful road-sweeper quotation starts with the route and ends with a signed specification. For Nigerian imports, document timing deserves attention too: where SONCAP applies to the product, conformity assessment takes place before shipment. Confirm the applicable HS classification and current process with your clearing agent and the Standards Organisation of Nigeria (SON) before placing the order.

If the cleaning system is still undecided, first read which street-sweeper system fits your roads. This checklist assumes you are ready to compare offers.

Seven inputs to put in the RFQ

Input What to provide Why it matters
Cleaning target Fine dust, sand, wet silt, leaves or mixed debris, by season Guides brush, suction and washing configuration.
Route Kilometres per day and actual operating hours Helps estimate productive capacity.
Road geometry Narrowest width, turning space, kerbs and height limits Sets chassis and working-width constraints.
Water and disposal Refill source and unloading point, with travel times Determines real working cycle.
Steering and compliance Required steering side and destination requirements Must be confirmed before the build is fixed.
Delivery Port, quantity and tender or arrival deadline Supports a realistic production and shipping plan.
Acceptance Intended demonstration surface and measurable checks Avoids an undefined promise of “good performance”.

Compare quotations line by line

Ask each supplier to identify the chassis model, wheelbase, gross vehicle weight, legal payload, steering side and applicable emissions specification. For the body, separate debris-hopper volume, clean-water volume and any recovered-water volume. Request the brush layout, suction system, washing modes and water consumption for the mode you plan to use.

Ask for a payload split for water, debris, crew and fitted equipment. A large hopper and water tank do not mean both can be full at the same time within legal axle loads. Price wear items such as brushes, filters and nozzles separately, and request their replacement intervals for the offered model.

The quotation should also identify the Incoterm, included documents, inspection scope, training, warranty terms, spare-parts arrangements and what happens if a listed component changes before production. Do not treat general website wording as a binding commercial offer; use the signed quotation and contract.

Agree an inspection plan

Before manufacture or dispatch, agree how the vehicle will be checked: chassis and body identifiers, dimensions, fitted systems, nozzle operation, brush contact, suction path, hopper discharge, leaks and access to service items. If possible, run a comparable surface test and record the method, conditions and results. Photos and video support the record but do not replace measurable acceptance criteria.

Start the import-document check early

SON states that, for SONCAP-regulated products, the Product Certificate (PC) is used for Form M and is issued in the exporter's name; the SONCAP Certificate (SC) is used for the importer's PAAR/clearance process and is issued in the importer's name. SON also describes the scheme as offshore and pre-shipment: an SC cannot be processed after the consignment leaves the country of origin. The present SON FAQ describes a “SONCAP Default” charge for noncompliance; the exact applicability, rate and current process must be checked for the consignment before shipment.

This is why certification planning should run alongside production rather than wait until a truck is ready to sail. Confirm whether the offered vehicle and HS code are regulated, who will obtain and activate each document, which inspection or testing route applies, and what the clearing agent needs for Form M and PAAR. SON's 2026 National Single Window migration notice means portal steps may change; use the current official instructions, not an old screenshot or a fixed website checklist.

Core shipment documents commonly include the commercial invoice, packing list, transport document and origin/value documentation, as applicable. The buyer or appointed agent should confirm the complete set, local duties and registration rules for the exact vehicle.
